Personal Assistant/Executive assistant to the President of the Bank


Personal Assistant/Executive assistant with wide experience in supporting C/director-level professionals who will be responsible for providing support to the President of the leading foreign bank .







Description

Responsibilities: Acting as right-hand person to the CEO. Deputising, leading projects, undertaking small elements of research and analysis and acting as an informed sounding board. Proactively manage the CEO life/diary, coordinating business and personal appointments, anticipating the level of flexibility required. Organise meetings as and when required; drafting agendas, preparing papers briefing when appropriate, and summarising actions when required. Arrange travel and accommodation for the CEO and other C-Level execs where required; booking flights, hotels, transfers, organising foreign currency and arrange appointments with business partners based internationally. Arrange corporate events including preparing agendas, managing the budget, travel, catering, venue hire and guest lists. Arrange staff and personal events managing budgets, catering, venues, invitations, guest lists and timings. Provide general administrative support to CEO as well as the Senior Management Team (with support); assisting with things like HR forms and procedures, budget monitoring and setting up of effective filing systems. Prepare internal and external presentations on behalf of the CEO. Organise Board meetings including setting up and agreeing an agenda, typing board pack content, printing it and sending members of the Board their papers in good time on a monthly basis. Collate and prepare expenses including foreign currency expenses. Ensure high standards as the first point of contact for guests, preparing refreshments as required. Deal with private and confidential information on a daily basis, remaining professional and approachable at all times. Be a key point of contact within the business having built relationships across all key functions with the Senior Management team and Board. Person Specification: Experience supporting C/director-level professionals. A pro-active team player used to working in a fast paced and challenging environment, ideally in a retail background. Experience in diary management is key. Strong communication and organisation skills. Must be comfortable communicating with Directors and teams at all levels internally and externally and be flexible and responsive to changing priorities. Job holder should be a competent Microsoft Office user; comfortable using Outlook, Excel, Word and Power Point on a daily basis; producing sales reports, company budget spread sheets, correspondence on behalf of Directors and presentations for internal and external use.
